    TITLE: Office Administrator/ Receptionist

    DEPARTMENT:  Administration

    GENERAL SUMMARY: The Office Administrator will provide administrative support to the New Patriot Holdings office and directly support Senior Management. They will also be responsible for general receptionist duties including handling calls and office communications, sorting mail, and assisting vendors and visitors.


     

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    • Route incoming calls, visitors, and communications to the correct and appropriate areas
    • Answer phones, screen and transfer calls; listen to concerns and compile monthly reports
    • Ensures smooth office operations and troubleshoots any issues that may arise
    • Greet guests and vendors, alerting appropriate employees as needed
    • Distribute incoming shipments; and process outgoing shipments
    • Collect, sort, and distribute incoming mail
    • Order and restock office supply inventory including necessary kitchen items
    • Update phone and email directories
    • Provide administrative support to Senior Management team including calendaring, scheduling, travel, expense reports and miscellaneous administrative tasks as assigned
    • Manages complex calendar and scheduling requirements
    • Responsible for completion of Executive documents including DocuSign, Live Scan, etc.
    • Keeps Management informed of upcoming commitments
    • Responsible for detailed note-taking during meetings
    • Plan and organize on-site and off-site meetings with Management
    • Manages confidential information and correspondence with discretion
    • Coordinate with Facilities to schedule building maintenance requests
    • Provide general administrative support to all departments
    • Faxing, copying, filing and general office duties as assigned
    • Maintain overall office and front reception area
    • Special projects and tasks as assigned

     

    REQUIRED QUALIFICATIONS:

    1) Knowledge, skills & abilities:

    • 2-5 years administrative support experience
    • Proficiency in technology software, desktop electronics, MS Office
    • Possess strong interpersonal and communication skills
    • Strong customer service skills
    • Proficient at multi- tasking and attention to detail in a fast-paced environment
    • Positive team player who works well with others
    • Knowledgeable and passionate about the Cannabis Industry

    2) Educations/ Certifications:

    • Associates Degree in Business, Project Management, or related field (preferred)

    3)  Qualifications:

    • Must be at least 21 years of age
    • Valid identification to work in the US
    • Reliable transportation

    4)  Physical Requirements:

    • Adhere to meal and rest break periods and must clock in and out for all shift times

    GENERAL SUMMARY: PEOPLE’S Product Specialist is responsible for delivering exceptional customer service to medicinal patients and adult users. The Product Specialist offers extensive cannabis knowledge including but not limited to consumption methods, health benefits, medical implications and impact, identifying and analyzing strains, remaining current regarding popular trends as well as provides recommendations based on consumer needs.


     

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    • Retain all products and strains on menus
    • Educating consumers (e.g. product features, health benefits, pricing, exc.)
    • Handle all customer-related questions, inquiries, and orders
    • Sale referrals, cross- sell products and introduce new products depending on customer needs
    • Accurately use and maintain the POS system
    • Meet and exceed individual sales goals on a daily, weekly and monthly basis
    • Responsible for accurate reconciliation of cash drawers
    • Receive payment by cash and issue accurate change and recipients
    • Arranging merchandise to ensure neat, clean and safe working environment
    • Responsible for maintaining the cleanliness of the store

    • 1-2 years of sales experience

  • Inventory Control Clerk

    GENERAL SUMMARY: PEOPLE’S Inventory Control Clerk is responsible for maintaining adequate levels of stock to meet daily distribution demands. The Inventory Control Clerk must be able to count and record all inventories and enter in a main database while minimizing excess supply. 


     

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    • Receive incoming product upon delivery
    • Responsible for ensuring that inventory follows applicable state regulations
    • Track all inventory including flower, pre-rolls, topicals tinctures, edibles, concentrates and accessories
    • Responsible for assisting and tracking recalled products
    • Conducting inventory reconciliation with sales reports
    • Perform regular/ unscheduled compliance audits
    • Comply and update inventory tracking when industry guidance, regulations, or laws are changed
    • Responsible for reporting noticed indications of loss, diversion, or theft
    • Record and report overall facility waste
    • Discovering and reporting trends in inventory
    • Partner with the Inventory Control Manager to create and implement inventory control procedures
    • Daily restocking of sales floor inventory
    • Storage of all inventory and inventory locations
    • Responsible for the cleanliness of all inventory locations

    GENERAL SUMMARY: PEOPLE’S Assistant General Manager is responsible for overseeing all retail operations. The Assistant General Manager (AGM) partners with the General Manager to plan and execute business development strategies for growth.


     

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    • Assists the General Manager with daily facility operations
    • Participates in creating and implementing company policies
    • Directs and coordinates departmental activities to meet business goals and objectives
    • Reviews activities, costs, operations, and forecast-data to determine progress towards company goals and objectives
    • Reviews daily, weekly, and monthly sales and inventory reports
    • Directs and reviews facility inventory reports
    • Refines, revises, and enforces company Standard Operating Procedures
    • Develops and implements training protocols and procedures
    • Oversees key projects, processes, and performance reports, data and analysis
    • Reviews and approves accounting analyses for budgeting and implementation, financial reporting, and submittal of capital expenditures
    • Ensures facility compliance with federal, state, and local industry regulations
    • Develops and communicates plans, employee evaluations, sales, and market analysis reports
    • Effectively and productively communicates with the ownership group and subordinates
    • Manages employee relations with support of administrative personnel
    • Manages performance by formulating effective goals, setting targets, and key performance indicators as appropriate
    • Works with various department managers to prevent loss, diversion, and provide inventory oversight and audits
    • Engages with the Quality Assurance Manager to ensure the facility maintains regulatory compliance
    • Ensures facility compliance with local, state, and federal sanitation standards and occupational, health, and safety regulations
    • Responsible for reporting any indication of loss, diversion or theft from the inventory to law enforcement, regulatory agencies
    • Participates in continuing dispensary education and general cannabis industry seminars to remain at the forefront of industry best-practices
    • Complies with HR policies including confidentiality and non-disclosure

     

    REQUIRED QUALIFICATIONS:

    1) Knowledge, skills & abilities:

    • 5+ years in a managerial role
    • Proficiency in technology software, desktop electronics, MS Office
    • Possess strong interpersonal and communication skills

    GENERAL SUMMARY: PEOPLE’S Ambassador is responsible for delivering exceptional customer service and a great overall experience to medicinal patients and adult users. The Ambassador plays a vital role representing the brand with passion and knowledge. PEOPLE’S Ambassador offers a professional and personable first impression to all customers, vendors, and guests. This position ensures that all calls, visitors and communications are routed appropriately. The Ambassador must be highly motivated, friendly, personable and calm under pressure.


     

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    • Greets visitors as they enter and leave the store
    • Checking validity of government issued identification, MMID card and medical recommendations for all customers
    • Communicate with customers with a positive attitude
    • Answering and directing incoming calls
    • Daily compliance with state/ local regulations
    • Keeping up with store procedures and rules
    • Performs light administrative duties
    • Builds professional relationships with customers, vendors, and employees
    • Keeps receptionist and work areas clean, organized and presentable in a brand- appropriate manner
